Exam Room and Patient Room Restock Checklist for Small Clinics

Exam Room and Patient Room Restock Checklist for Small Clinics

Not medical advice. This guide is general purchasing information only.

Short answer: Walk each exam room and patient room once a week against a short list, count what is running low, and restock before your next busy day. Adjust how often you check to match your own patient volume. Your clinic's own policies, along with your clinicians and compliance advisers, decide what each room must have on hand.

Running short usually happens one item at a time. A room that is used every day can have one supply quietly drop to zero, and nobody notices until a patient is waiting. A printed checklist, one person who owns it on each shift, and a standing restock time help avoid most of those surprises. The sections below cover the areas small offices and clinics most often track, along with a suggested check frequency for each group.

Exam table and paper

  • Table paper roll on the holder, with enough left to get through a full day of visits
  • Spare table paper rolls stored in the room or in a supply closet close by
  • Crepe table paper, if your team prefers it for exam tables
  • Headrest paper for chairs and exam tables where patients rest their heads
  • Cleaning wipes or other surface products that your clinic's policy approves for between-patient use

Hand hygiene and gloves

  • Hand soap and paper towels at every sink, with a refill kept in the closet
  • Alcohol-based hand rub at room doorways, if your clinic uses it
  • Exam gloves in the sizes your staff actually uses most
  • A box of gloves in each room, plus a reserve case in storage
  • Glove material chosen by your team (nitrile, vinyl, or another type), checked against your clinic's policy and any known sensitivities among staff or patients

Diagnostics

  • Thermometers and any probe covers your clinic uses, with a spare on hand
  • Batteries for devices that need them, checked during each restock
  • Blood pressure cuffs in the adult sizes your patients need
  • Labeled trays or bins for tools, so used and clean items are never stored together
  • A simple note of which devices your clinic checks, and when, kept with the restock list

Patient comfort and linens

  • Patient gowns in the sizes your patients wear most, plus a few extras
  • Slipper socks in a range of sizes, including larger sizes
  • Pillows and pillowcases for rooms that have beds or recliners
  • Bath towels and washcloths for patients who need them, kept in a closed bin
  • Small zip bags for patient belongings, if your clinic uses them

Waste and cleanup

  • Trash liners in every room, sized to fit the bin
  • Any specialty waste containers that your clinic's policy calls for, placed where staff can reach them
  • Dust pan, brush, or small vacuum for quick cleanup between visits
  • Labeled bins for used linen and for trash, so they stay separate
  • Toilet tissue and paper towels in the restroom closet

How often to check each group

These are starting points only. Busy clinics often check more often, and quiet offices may check less. Change the frequency once you know how fast each group runs down.

Supply group Suggested check frequency
Exam table paper and headrest paper Each shift, or daily in busy clinics
Exam gloves Weekly, and before a known busy day
Hand soap and paper towels Daily
Diagnostic devices and batteries Weekly quick look, with a monthly full check
Gowns, slipper socks, pillows, and linens Weekly
Trash liners and cleanup supplies Daily
Restroom paper goods Weekly, or daily in busy clinics

Frequently asked questions

How much should we keep on hand? There is no single number that fits every office. Look at what your rooms used over the last few weeks, then keep enough for that stretch plus a margin you choose.

Who should own the checklist? One person per shift works well for many teams. Post the list inside a supply closet door so it is in front of whoever does the restock.

Do products differ from one brand to another? Yes. Sizes, materials, and features vary by product, so read the product details and check your clinic's requirements before you switch to a different item.
